At 4:55 p.m., a branch reports 750 ounces of gold in the vault. The trading desk reports a different quantity, the bank balance includes a customer payment not yet matched to a sale, and the market price has moved twice since the last spreadsheet update. That is when a commodity valuation example becomes an operating requirement, not an accounting exercise. Exchange operators need to know what they own, what it cost, what it is worth now, and which part of the change belongs in realized versus unrealized profit and loss.

For businesses that trade gold, oil, and other physical commodities alongside crypto and fiat, valuation must connect inventory, custody, pricing, foreign exchange, and the general ledger. A price multiplied by a quantity is only the starting point.

What a Commodity Valuation Example Must Capture

A reliable commodity valuation starts with four controlled inputs: verified quantity, unit of measure, cost basis, and an approved market price. If any one of these inputs is incomplete, the resulting balance sheet and P&L can be misleading even when the arithmetic is correct.

Quantity must reflect what the business economically owns at the valuation time. Gold held in a vault may be owned inventory, metal held for a customer, pledged collateral, or stock sold but not yet delivered. Those categories should not be combined. The same applies to oil, where barrels in storage, in transit, committed under contract, and owned by a counterparty can have different accounting and operational treatment.

The unit of measure also matters. Gold may be recorded in troy ounces, kilograms, or grams. Oil may be reported in barrels, gallons, or metric tons. Every transaction should preserve its original unit while converting through a defined factor for reporting. A 1% unit-conversion error is not a rounding issue when inventory is measured in the millions.

Cost basis is the amount assigned to each unit before any period-end valuation adjustment. Depending on the accounting policy, this could be specific identification, first in, first out, or weighted average cost. Direct acquisition costs may be part of inventory cost when applicable, while financing, internal handling, and abnormal losses often require separate treatment. Your documented policy, reporting framework, and transaction facts determine the right answer.

Finally, market value needs a controlled source and timestamp. For a long physical position, a dealer bid or another exit-price convention may better represent realizable value than a headline midpoint. Using a buy-side quote to value inventory you would sell can overstate the position before a single ounce leaves the vault.

Commodity Valuation Example: Gold Inventory at Daily Close

Assume an exchange buys 1,000 troy ounces of investment-grade gold during the day at $2,320 per ounce. It pays $8,000 in directly attributable inbound and vault intake costs. The company uses FIFO for inventory cost and has a documented policy to assess daily market values for management reporting.

The total recorded cost is $2,328,000, or $2,328 per ounce. Later that day, the exchange sells 250 ounces at $2,410 per ounce. At the close, an approved market source shows a bid of $2,425 per ounce. The estimated cost to sell is $3 per ounce.

The realized trading result on the sale is $20,500 before other costs. The unsold 750 ounces have a closing economic value of $1,816,500 under this management pricing convention, which is $70,500 above their FIFO cost basis.

That $70,500 is useful operational information. It tells management how much unrealized value is sitting in the remaining gold position and how exposed the business is to the next price move. It does not automatically mean every entity should recognize an upward inventory revaluation in its statutory financial statements.

Under a cost-based inventory model, an increase above cost may remain unrecognized, while a decline may require a write-down depending on the applicable accounting rules and facts. Commodity broker-traders can have different fair-value measurement requirements. The correct treatment depends on the entity's accounting framework, its business model, and whether it qualifies for a relevant exception. Finance leaders should set the policy with their accounting advisers, then make the daily system treatment consistent with that policy.

Turning the Example Into Ledger Entries

The operational ledger should record the trade and the valuation separately. That separation prevents a market-price movement from being mistaken for cash profit.

At purchase, the exchange debits gold inventory for $2,328,000 and credits cash, bank, or the relevant counterparty payable for the same amount. When the 250 ounces are sold, it records $602,500 of cash or receivable and sales revenue. It then records $582,000 of cost of goods sold and reduces gold inventory by $582,000.

If the approved reporting policy requires fair-value adjustment for this inventory, the $70,500 movement is booked as a separate valuation entry: debit inventory or a valuation account and credit unrealized gain in P&L, subject to the entity's presentation policy. If the policy keeps inventory at cost, the system can still show the market value and unrealized exposure in management reports without posting an upward general-ledger adjustment.

This distinction is essential. Realized P&L is generated when the exchange completes a sale or closes a position. Unrealized P&L is generated by the movement between cost and an approved current price on inventory still held. Combining the two can make branch performance look stronger or weaker than it is.

Add FX Before You Trust the Total

Many multi-asset exchanges buy commodities in U.S. dollars but fund operations or report locally in another currency. In that case, the commodity value and the currency translation effect need to remain visible as separate drivers.

For example, an ounce acquired for $2,328 may be recorded at the spot exchange rate on the transaction date in the entity's functional currency. If a U.S. dollar bank payable remains outstanding at closing, that monetary balance may need remeasurement using the period-end FX rate. The gold inventory may follow a different measurement basis. Posting both movements into one generic gain or loss account hides whether performance came from trading gold or from currency exposure.

The same issue appears when a branch accepts local cash for gold priced from a U.S. dollar benchmark. Preserve the benchmark price, applied FX rate, spread, and transaction timestamp. Those fields make daily margin analysis possible and give reviewers a clear trail from the customer deal to the ledger.

Daily Controls That Keep Valuation Defensible

A valuation policy only works when the close process verifies the underlying records. The control objective is simple: every reported quantity, price, and accounting entry should be traceable to a source and approved by the right person.

A disciplined daily close typically requires these five controls:

  • Reconcile physical commodity quantities to vault, warehouse, or custody records by asset, purity or grade, and location.
  • Lock an approved price source, quote side, valuation time, and fallback process for missing or stale market data.
  • Match each purchase and sale to its cash, bank, crypto, or counterparty settlement record.
  • Separate company-owned inventory from customer assets, collateral, consigned goods, and inventory subject to liens or delivery commitments.
  • Review valuation exceptions through role-based approvals, with a permanent audit trail of changes to quantities, prices, and journal entries.

This is where generic spreadsheets become fragile. They rarely enforce who can change a price, distinguish a branch count from a head-office adjustment, or preserve the sequence of a correction. Report the Number Decision-Makers Actually Need

A daily commodity report should not stop at total inventory value. Owners and finance teams need cost basis, current market value, realized P&L, unrealized P&L, quantity by location, aged breaks, and open settlement exposure. Branch managers need the same data at a narrower level, with no ability to alter pricing rules or corporate journals.

For oil, add grade, storage location, contract terms, and volume conversion details. For gold, add purity, bar or lot identifiers when relevant, allocated versus unallocated status, and vault location. More detail is not bureaucracy when it answers a real control question: can this exact position be sold, delivered, or reconciled today?

Before the next close, choose one commodity position, define its ownership status and cost method, and run the calculation from source quantity to final P&L. The gaps that appear in that single exercise usually identify the controls your exchange needs most.
