A cash drawer can balance at closing and still hide a serious operational problem. A reversed trade, a delayed entry, an unauthorized rate adjustment, or a transaction posted to the wrong counterparty can leave records looking acceptable until the loss becomes harder to trace. Knowing how to monitor cashier activity means creating a clear, real-time record of who handled each asset movement, under which authority, and with what result.

For crypto and multi-asset exchanges, this control must extend beyond cash. Cashiers may receive fiat, release crypto, process bank transfers, handle gold or oil positions, apply exchange rates, and manage customer balances during the same shift. Monitoring has to be precise enough for daily operations and structured enough for finance, management, and audit review.

Start With Individual Accountability

The first rule is simple: every cashier must use a unique account. Shared logins remove the most valuable piece of evidence in an investigation - the connection between a specific action and a specific person.

Each cashier should sign in with their own credentials, while supervisors, accountants, branch managers, and owners receive separate roles based on their responsibilities. A cashier should be able to create and complete authorized transactions. They should not be able to edit historical records, approve their own reversals, change system-wide rates, or access sensitive financial reports unless their role genuinely requires it.

This is not about treating staff as suspects. It is about protecting good employees as much as the business. When user activity is clearly attributed, a cashier can quickly demonstrate that a disputed transaction was approved, corrected, or processed outside their control.

Use permissions that match the operating model

A small exchange with one counter may need only cashier and manager roles. A multi-branch operation usually needs more separation: branch cashiers, branch supervisors, treasury staff, finance reviewers, compliance personnel, and platform administrators.

The right level of access depends on transaction volume and risk. The key is to avoid two extremes: giving every user administrator rights because it is convenient, or making routine transactions so restricted that staff rely on informal workarounds. Permissions should support speed at the counter while preserving approval controls for high-risk actions.

Record Every Transaction Event, Not Just the Final Entry

A daily sales total is not a cashier activity log. To monitor operations effectively, capture the lifecycle of each transaction: creation, edits, approvals, asset delivery, cancellation, reversal, and settlement.

A useful activity record identifies the user, timestamp, branch or workstation, customer or counterparty account, assets involved, exchange rate, fees, transaction status, and any approval attached to the event. If a cashier modifies a transaction, the system should preserve both the original value and the revised value, rather than overwriting the history.

This level of detail matters when exceptions occur. If a customer says they received the wrong amount of crypto, the operations team should be able to see whether the trade was entered incorrectly, the rate changed before confirmation, or the asset transfer was released after a correction. Without an event history, teams are left comparing screenshots, paper slips, and spreadsheet entries after the fact.

How to Monitor Cashier Activity in Real Time

Real-time visibility lets managers address unusual activity during a shift, not after closing. A central dashboard should show current transaction counts, total inflows and outflows by asset, open transactions, cashier balances, reversals, and pending approvals across every branch.

Managers do not need to inspect every normal transaction. They need exceptions that direct attention to the right records. Examples include a cashier processing an unusually high number of reversals, repeated edits to rates or fees, transactions split into smaller amounts, negative cash balances, or activity outside scheduled hours.

Set thresholds according to the exchange's risk profile. A $5,000 fiat transaction may be routine in one location and a management-review event in another. Likewise, a high volume of small crypto trades may be normal for a retail counter but unusual for a branch focused on remittance. Fixed rules are useful, but operational context matters.

Focus on exceptions, not surveillance theater

Monitoring every keystroke can create noise without improving control. It can also encourage managers to spend time on low-risk activity while meaningful exceptions are missed. Better controls prioritize the events most likely to affect balances, customer obligations, or the integrity of the ledger.

Review these areas consistently: voided or canceled transactions, manual balance changes, backdated entries, rate overrides, fee overrides, transfers between cashiers, transactions completed after a shift change, and any activity requiring supervisor approval. These actions are not automatically improper. They simply deserve a documented reason and an independent review.

Reconcile by Cashier, Asset, and Shift

Cashier monitoring is incomplete without reconciliation. At the end of each shift, compare the expected balance generated from recorded transactions with the physical or digital assets actually held.

For fiat, this means counting the assigned cash drawer and comparing it to the system balance. For crypto, it may involve matching customer obligations, wallet movements, and confirmed settlements. In a mixed-asset exchange, the process can also include gold inventory, oil-related positions, bank balances, and internal transfers. Each asset needs its own control logic, but all results should feed one reliable operational view.

Do not allow shortages and overages to become vague carry-forward items. A small discrepancy can result from a counting mistake, but repeated unresolved differences are a control failure. Require the cashier to acknowledge the variance, record the explanation, and obtain supervisor sign-off when the difference exceeds a defined threshold.

A second person should review high-value reconciliations or any shift with unusual activity. This separation reduces the risk that the person who processed transactions is also the only person confirming the final balance.

Make Approvals Visible and Independent

Some actions should never be completed by a cashier alone. Reversals after asset delivery, rate changes beyond an approved range, large withdrawals, manual journal adjustments, and corrections to closed periods should require approval from a supervisor or finance user.

The approval workflow should show who requested the action, why it was requested, who approved it, and when it was finalized. A verbal approval or message in a private chat is difficult to audit and easy to lose. Put the evidence inside the transaction record.

Independence matters here. If the same user can create a trade, adjust the rate, reverse it, and reconcile the drawer, the business has created a single point of failure. Dual control may add a few minutes to an exception, but it can prevent a much larger financial and reputational loss.

Review Patterns Across Branches and Users

Daily controls catch immediate issues. Trend analysis reveals weaknesses that are easy to miss one shift at a time.

Finance and operations leaders should review cashier activity weekly or monthly for patterns such as frequent corrections by one user, recurring shortages at one branch, higher-than-average discounts, unusual timing of reversals, or repeated customer disputes tied to a specific workflow. Compare users performing similar roles, but account for differences in branch volume, customer type, asset mix, and working hours.

This review can identify training gaps as well as misconduct. A cashier who repeatedly posts transactions to the wrong asset account may need better procedures or a simplified counter workflow. A branch with frequent end-of-day variances may have a handoff problem, not an individual performance problem.
